Getting Started

The Exhibitor Services Manual (ESM) everything you will need in order to plan for a successful exhibiting experience. The ESM is now live and can be found on the Exhibitor Resources page under the "Order Forms, Show Information, and More" accordion. 

Shipping Information

Freeman will accept crated, boxed or skidded material beginning August 22, 2018 at the above address. Material arriving after September 17, 2018 will be received at the warehouse with an additional after deadline charge. Warehouse materials are accepted at the warehouse Monday through Friday between the hours of 0800 – 1530. If required, provide your carrier with this phone number, 214.634.1463. Please note: The office and warehouse will be closed Monday, September 3, 2018 in observance of Labor Day. Shipments will not be accepted on this date.

Freeman will receive shipments at the exhibit facility beginning September 20, 2018. Shipments arriving before this date may be refused by the facility. Any charges incurred for early freight accepted by the facility will be the responsibility of the exhibitor. If required, provide your carrier with this phone number, 214.634.1463.

Staff Registration

You will receive five (5) complimentary Exhibitor Registrations per 100 sq. ft. of Exhibit Space will be allotted to each contracted Exhibitor for purpose of registering booth personnel. Two (2) complimentary Exhibitor Registrations per 100 sq. ft. of Exhibit Space will be allotted to each Exhibitor in the heavy equipment booth area.

Registration is managed by Experient and is scheduled to go live in June of 2018. Registration is not automatic, despite complimentary registrations. Once live, you will need to visit the show website and click on ‘Registration’ to get started.

Included With Booth

  • Standard booth draping (8-ft high back wall and 3-ftside rails) and identification sign (7 in x 44 in) listing Exhibitor name and booth number will be provided to all linear booths. Any additional draping used must comply with Event color scheme and the published fire safety regulations.
  • Crated shipments, machinery, or equipment delivered to the Convention Center by trucks (other than vans) will be handled as outlined below and further detailed in the Exhibitor Services Manual as part of exhibit space rental fee. Before Exhibition—truck unloading, crate delivery to booth, and crate storage. After Exhibition—crate return to booth, crate removal.
  • Nightly vacuuming of the exhibit floor is included in space rates for indoor space only. Additional cleaning services are available as outlined in the Special Cleaning Form included in the Exhibitor Services Manual.
  • Five (5) complimentary Exhibitor Registrations per 100 sq. ft. of Exhibit Space will be allotted to each contracted Exhibitor for purpose of registering booth personnel.   • Exhibitor listing in official Conference Program
  • SPE will carpet all major aisles.
  • Access to the Conference Proceedings will be emailed to the primary contact immediately before or after the event.

NOT Included With Booth

Please note this is a partial list which includes the following items but is not limited to: 

  • Furniture
  • Carpet
  • Wi-Fi
  • Electricity
  • Lead Retrieval
  • Plants/Flowers
  • Parking Passes
  • Catering

 

Carpet, electricity and furniture are not included with your booth space purchase. SPE does require all exhibitors to have floor covering in their booth.  Carpet can be rented through Freeman, our general services contractor, or can be supplied by the exhibitor.  Ordering information for each of the aforementioned services can be found in the  Exhibitor Service Manual (ESM) which will be posted on the ‘Plan your Exhibit’ page under the Exhibit tab on the show website in Spring of 2018.

Guest Invitations

As the show nears, each exhibitor will receive an email from our Registration department announcing that Guest Invitations are available upon request. There is no limit to the number of guests you may invite, but you will be charged USD 40 for each guest that registers using your guest card number, per day. The maximum charge for Guest Invitations is USD 2400. Once you receive the announcement stating Guest Invitations are ready, please send your request to Darci Capley.

Please note, these are not to be used for your staff.

How To Access Your Account

You can log into your account at any time 24/7 to view your account, make a payment, print a statement, update your company profile, and much more. Simply click here and enter your case sensitive company password which can be found in your booth space confirmation letter. For password assistance, please email Ileana Valdes.

All exhibits must be fully installed by 1500 hours on Sunday, 23 September. 

Late set-ups must be pre-approved by show management.

Friday, 28 September                0800 to 1700

 All freight must be cleared by 1700 hours on Friday, 28 September.

Exhibitors cannot begin dismantling their booth until the exhibition is officially closed.  Dismantling early will result in a loss of priority points.

Special Event Insurance

SPE requires exhibitors to have insurance. A copy of exhibitor insurance is not required to be provided to SPE, however, should it be needed, please be sure that the proper coverage is in place.
